OUR PROCESS
Planning a tented wedding, especially on private property, comes with a lot of moving pieces. We’re here to guide you through it clearly and calmly.
1. Let’s Start the Conversation! You share your date, guest count, and
property details. We’ll talk through your vision, priorities, and what’s
realistic for your space.
2. A Proposal Built Around You. We create a custom proposal tailored to
your wedding, not a one-size-fits-all package. Tent, table and chairs, layout
ideas, and accessories are thoughtfully recommended based on your guest
experience. You’ll have time to review everything and ask questions.
3. Adjustments & Site Visit (If Needed). Need to tweak the layout? Add or
remove items? Not sure about the property? We’ll make adjustments
together and can schedule a site visit if needed to walk the space and
confirm logistics.
4. Reserve with a Deposit. Once everything feels right, a deposit secures your
rentals and locks in your date.
5. Final Updates & Confirmation (30 Days Out). As guest counts and details
evolve, we fine-tune your order. Final numbers and confirmations are
completed about 30 days before your wedding.
6. Professional Installation + Breakdown. Our experienced crew arrives on
schedule to install your tent and rentals with precision and care. After your
celebration, we return to remove everything efficiently and respectfully, so
you can simply enjoy the memories!

What began as a small operation has grown into a professional event company capable of executing multiple weddings, festivals, and corporate events each weekend. Our experienced crews, refined systems, and expansive inventory allow us to handle complex productions with precision and confidence.
When you inquire with Baystate, you work directly with our family — not a call center or national chain. We build custom proposals, assist with layouts, conduct site visits, handle permitting, and stay involved through installation day.
